Content control

Protects against external threats, abuses and the misuse of sensitive or classified information for a secure working environment.

Eradicating the risk of non-compliance

According to a study by the US based Ferris Research, ensuring e-mail compliance, whether regulatory or corporate, is the third biggest concern that Chief Information Officers and IT directors face – just behind viruses and spam. This is hardly surprising – just take a look at the plethora of national and international legal and regulatory controls, including SOX, HIPAA, GLBA and Visa CISP. Their scope is massive, but can be boiled down to regulation of the receipt or sending of 'inappropriate' e-mails, including those that offend, breach privacy, mislead or misuse privileged information.

Protect your commercial assets

And that's not even the full story for these managers – they are also responsible for the security of their own organisations' key commercial properties, including trademarks and patents. The dissemination of these and other valuable materials, whether accidental or malicious, is another growing threat that also has to be managed effectively. It has complicated matters that none of these regulations or other needs, pay any heed to the real capabilities of the current technologies or corporate practices used to enforce them. So until recently the threat of disaster was an ever present worry for CIOs (Chief Information Officers) and others.

Automatic compliance

Now, though, they can sleep better at night. This is since the launch of MXSweep's content control service, a highly effective 'set and forget' solution that's designed to protect every organisation that uses this service against enforcement actions, legal penalties and unwanted commercial disclosures. It does this by ensuring that businesses can automatically ascertain the compliance of every e-mail they send or receive – both with their own 'acceptable use' policies and with all public and private sector regulatory requirements.

Flexible, individualised policy creation

As with every MXSweep service, it's simplicity itself to use. The administrator first creates a number of policies in accordance with the organisation's corporate and regulatory needs, using the solution's inherent flexibility to individualise them by specifying as search criteria all the expressions that are required.

These policies are then applied to every element of all inbound and outbound emails, scanning all words and images to ensure compliance. Any mail that falls outside the 'rules' can – among other actions – be held in a secure approval box so that a decision may be made on its acceptability.

This simplicity provides two significant advantages – first it frees IT departments to concentrate on delivering real added value for their internal customers. And second, it enables users to open and receive emails safely, with no disruption to how they work.
